Personal Data Policy

At The Man In The Moon, we value the privacy of all workshop attendees and their parents/carers.

The personal information we collect about you/your child is used solely to provide appropriate care, maintain our service, and communicate effectively with you. Our legal basis for processing this personal information is to fulfil our contract with you.

Data Security and Retention:

  • All information provided is securely stored. Data that is no longer required* will be deleted after you/your child stops attending our activities.

Communication:

  • We will use the contact details you provide to communicate via phone, email, social media, and post. This includes sending information about your child, our activities, relevant news, and communicating regarding fee payments.

Sharing of Personal Information:

  • We will only share personal information about you or your child with another organisation if:

    • There is a safeguarding concern about your child.

    • We are required by government bodies or law enforcement agencies.

    • We engage suppliers (e.g., Class For Kids, PayPal, Stripe, SumUp, The Little Box Office, MailChimp) to process data on our behalf.

    • It is required for the NHS Test and Trace scheme.

    • We have obtained your prior permission.

Rights and Requests:

  • You have the right to request access to the data we hold about yourself/your child and to request corrections to any errors. We will respond to such requests within 28 days.

  • You can also request deletion of data, although certain types of data (such as complaints, accidents, and attendance records) must be retained for statutory periods* after your child leaves our care.

Complaints:

  • If you have concerns about how we handle your information or our response to data access, update, or deletion requests, you can contact the Information Commissioner's Office (ICO).
